Pets at Home has used r2c to manage its fleet through Earned Recognition since 2017, and Liam Wilson, Fleet and Compliance Manager, says that with legislation continuing to evolve, having all the data in one easy-to-access platform is essential to continuing as a flagship operator.

Servicing and schedules

With the servicing element of the fleet operation, Liam is able to get full visibility on schedules, and even plan up to 10 years in advance should he need to. A digital vehicle file with all records for that particular asset keeps everything in one place too.

There are other simple, yet practical, advantages to using r2c’s digital platforms, Liam explains: “Keeping everything online and inputting via a touchscreen avoids issues such as handwritten or oily paperwork, which can be hard to read. You also know every box has been ticked and nothing can be missed, which is hugely important from an auditing perspective.”

Pets at Home plans schedules for each asset over six months ahead, and it uses the Exemplar system to ensure this is all in place.

The aim

Driver defects and reporting

Pets at Home is one of the pioneers of the Earned Recognition scheme, and has worked closely with r2c, using its Exemplar package to manage compliance and SMR.

Before every journey from Pets at Home’s central hub in Stafford, the driver must complete a walk-round check. Through r2c, any defect that is logged electronically is then flagged on the platform.

“This is where r2c comes into play,” says Liam. “Transport is moving into a digitised world where systems are becoming more technical. Previously, a driver defect would be written up and then inputted into a system. After that there would be phone calls or emails to arrange repairs and to get updates. You would be always chasing paperwork and invoices.

“If you’re dealing with one asset, that is OK. But with a fleet, you could be doing this process many, many times a day.”

With r2c the driver files the check digitally and an alert is created if there is an issue. That then feeds into the service provider for booking, and once in the system, just a few clicks of a button allows Pets at Home to get an update on the vehicle’s situation.

“Everything is one place, on one system and it comes back full circle, so we get full reporting and rectification until the job is closed off,” says Liam.

Planning and trend analysis

As well as demonstrating high levels of compliance, Pets at Home is also able to use the system to plan fleet downtime and costs, understanding on any given day how many tractors and trailers are available, which units are in for service or maintenance, and also measure service providers against KPIs.

“r2c’s Vantage Point allows me to the see the granular detail around KPIs and shows me where we need to improve, can illustrate why days are being lost to VOR, as well as drill down by manufacturer on performance, which is really useful for the procurement process,” says Liam.

“Being able to analyse trends in defects, VOR and reliability is massively important with traffic commissioners keen to see this is being done. Vantage Point shows these clearly and quickly – with manual systems you have paper and spreadsheets, so combining these to pinpoint trends would be a complex, time consuming undertaking.”
